Enable Comment Types in Process Reports

How To Design Process Reports With Comment Types

This guide offers a comprehensive walkthrough to show how to enable comment types on specific process reports, enhancing organization and filtering comments on quotes and sales. By utilizing comment types effectively, users can improve clarity in communication. This ensures users can create more user-friendly outputs. 


    1. To get started, go to Lists. Click "Comment Types"

    1. You may have added, subtracted or changed the choices within your account, the graphic below represents the current list of comment types for this example account.

    1. To enable these comment types to display in the process report of your choice, click "Process reports"

    1. In this example, let's use the process report called "Order Confirmation" and we will enable the comment types on this report specifically.
      Click the pencil to move forward.
      Note: comment types must be enabled one report at a time. There is not a way to enable comment types on multiple reports at once.

    1. Click "Design Report"

    1. Double-click on the comments box "{Comment}"

    1. Once you click the box, a small circle with four (4) arrows will appear. Click on this circle to select the full comments box.

    1. Now look right. Find the field next to "Filters".  Double-click "Edit"

    1. To enable all of the comments to work, double-click "Any Of"
      Double-click on "Customer" and type in the comment type (taken from the list in step # 2). In this instance we will type "Accounting" to add that comment type.
      Note: entries are case sensitive.

    1. To add an additional comment type, double-click the text field beneath "CommentType"

    1. Double-click "CommentType" in the dropdown menu.

    1. If desired, double-click on the blank field and type in 2nd comment type (taken from the list in step # 2).

    1. Continue to repeat steps 10-12 to add as many comment types as desired by the user.

    1. Once you have added all desired comment type, click on Preview to check your work.

    1. Use the dropdown menu to choose a test quote. Be sure to select a quote with the comment type(s) you added.

    1. Double-click "Preview" after selecting your quote.

    1. See the comments here.

    1. The comments and comment types on the quote will populate into the process report above.
